How to use the Signature Generator

This tool builds your TradeMutt email signature. Fill in your details in the Signature Builder tab, then follow the steps below for your email platform.

Step 1 — Fill out your details

Open the Signature Builder tab. Full Name, Job Title, Department, and Email are all required.

Department shows as "Department | TradeMutt" under your title. Leave it blank and it just reads TradeMutt.

Phone is optional but encouraged depending on your role. Add an extension in the smaller field next to the phone number if you have one.

Under Additional Info, you can add working hours; enable the impact calculator link by adding link text (the URL is already pre-filled to the TradeMutt impact calculator page); and add a seasonal banner — paste a hosted image URL to display an image inline next to bold text. All optional — leave blank to hide.

The Live Preview updates as you type. Once it looks right, use one of the buttons below the form to copy or save your signature.

What each button does

Buttons in the Signature Builder

Copy for Gmail Copy for HubSpot Save HTML

Copy for Gmail — copies the signature as a formatted, visual copy with images intact. Paste this directly into Gmail's or Outlook's signature editor.

Copy for HubSpot — copies the signature as raw HTML code. Paste this into HubSpot's HTML source code editor.

Save HTML — downloads the signature as an HTML file to your computer. Open this file in a browser to copy-paste it manually if needed.

Adding your signature in Gmail

Click Copy for Gmail in the Signature Builder.

Open Gmail in your browser. Click the ⚙️ Settings icon in the top-right, then click See all settings.

On the General tab, scroll down until you find the Signature section.

Click Create new, give your signature a name (e.g. "TradeMutt"), then click inside the signature text box. Select all (Ctrl+A / Cmd+A) and paste (Ctrl+V / Cmd+V). The signature should appear with images and formatting intact.

Scroll down slightly to find Signature defaults. Set both dropdowns to your new signature:
  • For new emails use: your signature name
  • On reply/forward use: your signature name
Also tick "Insert signature before quoted text in replies and remove the '--' line" — this keeps your signature sitting directly under your reply rather than buried at the bottom of the thread.

Scroll to the very bottom of the page and click Save Changes.

Test it by composing a new email — your signature should appear automatically. If the images don't appear, check that your browser (Chrome or Edge recommended) has clipboard permissions for this page.

Adding your signature in Outlook (Desktop App — Windows)

Click Copy for Gmail in the Signature Builder — it works for Outlook too.

Open the Outlook desktop app. Click File in the top-left, then Options.

Click Mail in the left menu, then click Signatures…

Click New, give your signature a name (e.g. "TradeMutt"), then click inside the large editor box at the bottom and paste (Ctrl+V). Your signature should appear with images and layout intact.

In the top-right of the Signatures window, set New messages and Replies/forwards to your new signature name. Click OK, then OK again to close Options.

Test by composing a new email — your signature should appear automatically.

Adding your signature in Outlook (Desktop App — Mac)

Click Copy for Gmail in the Signature Builder — it works for Outlook too.

Open the Outlook desktop app. In the top menu bar click Outlook → Settings.

Click Email, then Signatures. Click the + button to create a new signature and give it a name.

Click inside the signature editor and paste (Cmd+V). Your signature should appear with formatting intact.

Use the Default signatures dropdowns to set your new signature for New messages and Replies/forwards. Close Settings to save.

Adding your signature in Outlook Web (Microsoft 365)

Click Copy for Gmail in the Signature Builder — this button works for Outlook Web too.

Open Outlook Web (outlook.office.com or outlook.com). Click the ⚙️ Settings icon in the top-right, then click View all Outlook settings at the bottom of the panel.

Go to Mail → Compose and reply.

Under Email signature, click New signature and give it a name. Click inside the editor box, select all (Ctrl+A / Cmd+A), and paste (Ctrl+V / Cmd+V).

Under Select default signatures, set your new signature for both New messages and Replies/forwards. Click Save.

Adding your signature in HubSpot

Log into HubSpot. Click the ⚙️ Settings icon in the top-right corner of the screen.

In the left-hand menu, click General, then click the Email tab at the top.

Click Manage email signatures.

In the signature editor, click the HTML button (top-right of the text box). This switches the editor to code view.

Click Copy for HubSpot in the Signature Builder, then select all the existing text in the HubSpot box (Ctrl+A / Cmd+A) and paste (Ctrl+V / Cmd+V). If it doesn't paste correctly, copy the code from the Generated HTML box in the builder instead.

Click Save.

Using the Bulk Generator

The Bulk Generator creates signatures for multiple team members at once from a spreadsheet. Each person gets their own HTML file, ready to use.

Open the Bulk Generator tab and click Download Sample CSV. Open that file in Excel or Google Sheets — it shows the columns to fill in.

Fill in one row per person. Name, title, and email are required. Leave optional columns blank.

Save as CSV, then upload it with Upload CSV or paste the contents into the text box. Click Parse CSV.

A preview table appears. Rows missing required fields are highlighted in red — fix those in your spreadsheet and re-upload.

Click Download All as ZIP to get every signature at once, or use individual Download buttons per row. Files are named TM_[Name]_[Job Title].html.

Send each person their file. Each downloaded HTML file needs to be opened in a browser first — then they can select all, copy, and paste it into their email client using the instructions above.
